General Questions

We've released an update for the Android App that includes Groups, Birthdays and a unified login process.

With this Android App update, members can:

  1. Create and use the password of their choice to sign into the Mobile Member App on any device and the Online Member Directory. This upgrade provides a unified login experience across all platforms and devices without sacrificing security. See below for information that will help you and your members.
  2. View all Groups and see the members of each Group.
  3. View a Birthday list by month.

You can use any resolution picture and Instant Church Directory will optimize the storage for both quality and performance (and PDF file size). Instant Church Directory will store the images at a resolution of 300 dpiregardless of what resolution image is selected. 

Below are the exactdimensions/proportions of the photos used in Instant Church Directory. Thefinal photo dimensions used in the directory vary depending on the sectionwhere the photo is located:  

Cover Image: 6.75" wide x 8" high (2025 pixels wide x 2400 pixels)  

Family Page photos: 2.0625" widex 1.8125" high (618 pixels wide x 543 pixels)  

Pastor Page photo: 1.8125" wide x2.0625" high (543 pixels wide x 618 pixels) 

Staff Page photos: 1.8125" wide x2.0625" high (543 pixels wide x 618 pixels) 

Activity Page photos: 3.625" widex 2.75" high (1087 pixels wide x 825 pixels) 

All photos should be set to highest quality print -- the above pixels are for 300 DPI photos.

Members can submit a photo by following
a link that you provide them. 
 
  

The link can found underneath each
individual family’s information on the Families Tab.
 You can either copy and paste the email message including the link by selecting “Request A Photo Message” or, if you
have it linked directly to your email, you can select “Request Photo via
Email’. When the members click on the link, they are taken to a page where it
is simple for them to browse their photos, upload, and submit it to you. It usually
takes less than 5 minutes.


  
When reviewing the photos that have been uploaded, you can choose to assign them to a family and save them in the directory or you can choose to delete them. 

If you do not choose save or delete, the picture will remain "in review" until you choose one of the options. Photos will not show in the directory until you choose "Save."

Administrators can send members the link to upload their photo. From there they will follow the link, upload the photo, and submit it for review. If the administrator approves the photo, it will replace the existing photo that they have in the directory.

If you have the Instant Church Directory PDF printed by a professional printing company, they may require that the fonts are embedded within the PDF.  You can embed the font into the Church Directory PDF by using the "Arial" font.  This font is automatically embedded into the PDF.

To select the Arial font, go to the Settings tab and select the Arial font from the Font Options drop down.  Then save the settings, generate the PDF again, and send this newly generated PDF to your printer.

Your data is automatically stored for 6 months after the account is cancelled.   If you decide to reactivate your account,  you can renew and we will continue to store your data. After the six months, if the account is not renewed,  it will be permanently deleted from our servers.

When you log into your Instant Church Directory account, there will be a notification at the bottom right of the home page letting you know that photos have been submitted and are ready for review. By clicking on that notification, you will be taken to a page where you can view the images, choose the correct family that the image belongs to, and approve the image.

When using photos of church members on Web sites, it's important to get permission from the person first. With children's photos, you'll need the parents' permission, and for safety and privacy it's important not to identify the child in public areas (non-password protected pages).

To protect yourself, and your members, you may want the subject to sign a model release or permission form. 

If you do not want a group to show in the Member apps for Member Website, you edit the group and check the box next to "This group is private." You will see a lock icon next to the group in the list to know it is set to Private.

Groups do not show yet in the Online Member browser version.

Making an Individual's email or phone number private will allow the Admin to see the information, but it will be hidden from the Android and iOS 2.0 apps, Member Website and PDF directory.

Members with an email set to private will still be able to login to the Apps and Member Website using that email address.

You can use any resolution picture and Instant Church Directory will optimize it for both quality and performance. Most digital cameras and mobile devices will automatically be set to take a picture at a high resolution an will work with Instant Church Directory. If a photo is copied and pasted from Facebook or other social media, the resolution will be low and may have a grainy appearance when printed in a directory. Instant Church Directory will store the images at a resolution of 300 dpi regardless of what resolution image is selected.

There is not a limit to the number of phone numbers that can be added to the directory.

 

At this time, font sizes are able to be changed on the roster page pages.  The options are 9 point through 18 point fonts.

There are 3 options for font styles, which apply to all pages of the directory. They are Courier, Helvetica, and Times New Roman.

My Account/Billing

You can access your invoice online at any time.  Simply log into the website  with your log in name and password and select the My Account Link.  You can then pull up your invoice by selecting the Check My Account Status button and clicking on the “View Invoice” link located under your order.  From here you can view and print out your invoice at your convenience.
You can update your payment method anytime by logging in and clicking on the "My Account" link on the right side of your screen. There you will see options for Managing Your Account. Simply click on "Change Payment Method" link and you will be able to edit this information.
The $1.00 that you see is an authorization to validate that the credit card is valid.  These usually look similar to a charge when using a Debit or Bank card. The $1.00 authorization will remove itself within a few days, depending on your bank.

While your card is required when you sign up for the 30 Day Free Trial, it will not be charged until the first business day following the end of your free trial.


Exporting and Importing

Yes! You can transfer your existing Instant Church Directory CD or download version to Instant Church Directory Online at anytime.

Once you've created an Instant Church Directory Online Account - Log in

Select the "Home" link at the top right of your screen

Select the 3rd option, "Upload your existing Instant Church Directory ICDX file

Currently you can only export the images as a PDF.   You can export the family list as a csv file from the link on the bottom left side of the Family tab. 

The Upload Multiple Images tool requires you to have Shockwave Flash installed and enabled on your browser. You can download this from www.adobe.com at no charge to you.  You also will want to check your browser add-ons to ensure that this is enabled.

Instant Church Directory Online currently crops family photos to fit within standard dimensions -- 2.0625" wide x 1.8125" high.

We plan to improve the cropping in future releases so that you can change the width/height ratio to avoid cropping people out of wide photos.

In the meantime, we suggest editing your photo by adding a white space above the picture.

A photo-editing program, such as Photoshop or Photo-Paint, can do this. If you don't have a photo-editing program, you can use Windows Paint, which comes with all versions of Windows. You'll find Paint in the Accessories folder.

In Paint:

  1. Open the photo.
  2. Highlight the entire photo using "Edit" > "Select All" (or Ctrl+A).
  3. Use "Edit" > "Copy" (or Ctrl+C) to copy the selected area.
  4. Delete the selected area, so the entire picture is a white background.
  5. Use "Image" > "Attributes" (or Ctrl+E) to enlarge the background. Keep the width the same, but change the height to be equal to the width. For example, if the photo is 3" wide x 2" high, make it 3" x 3". (You may need to experiment with the dimensions, depending on the photo.)
  6. Use "Edit" > "Paste" (or Ctrl+V) to paste the copied photo into the enlarged area.
  7. While it's still highlighted move the photo to the bottom of the frame.
  8. Use "File" > "Save As" to save the edited photo with a new name, so it doesn't overwrite the original.



Yes, you can import a CSV file into an existing directory. However, if there are names in the CSV files thare alread in the directory, you'll end up with duplicate entries.

New imported names will be integrated into the existing alphabetical list in the correct alphabetical order.
If you need to delete the information on your directory, you can do so by logging into your account online, select the "My Account" link on the right hand side of your screen, and choose the Reset Directory Option. You have the option to delete the sections shown by clicking the section box, and hitting continue.  This is a permanent deletion and cannot be undone.

Online Directory

Go to www.instantchurchdirectory.com and click on the 'Church Member Sign In' button.  If this is your first time signing in, you will need to create a login profile.  Below the "Sign In" button, look for "First time signing in? Create a login now."  Click on this link.

Enter your email address as it appears in the family section of the directory.  Next create a password that is at least 8 characters and contains two of the following special characters:  capital letters, numbers, or symbols.  Click on the 'request login' button.

You will see a message that a confirmation email has been sent to your email address. In order to complete the sign-up process, you will need to verify your email address by clicking on the link sent to you in that email.  Once you confirm your email, you may sign into your church's directory.

You can email your directory by downloading your Directory in a PDF format. Select the Step 8 - Share tab and click "Download Directory" and save it to your computer. You can then email it through your email program as an attachment. If you choose to have your directory Password protected then whoever you are emailing it to will need the password to open it.
Your members will need to have Adobe Reader to view the PDF. The latest Adobe Reader is a free download from the link below:


When you edit your directory all of your changes are saved in our database. However to see the changes in your directory PDF you need to first generate your directory. When you generate the directory any changes you have made since the last time you generated your directory are included in your directory PDF. 

 

So for example let's say I set up my directory on Apr 18. I entered all of my information and pictures the way I wanted them. I then generated my directory (Step 7 - Generate) and downloaded a PDF of it (Step 8 - Share). My PDF has all the information and pictures in it that I just entered. 

 

Now I go back over the next couple days and add some more church members and make some other changes. Although, all of my updated information is saved on our database, if I want to download a new PDF directory  to include my changes, I must first go to "Step 7 - Generate" and generate my directory. Otherwise the PDF will be the same as the one I downloaded on Apr 18.  

 

That is why there is a display with the date and time you last generated your PDF directory. It serves as a reminder of when you last generated your changes. 

 

Please note that you do NOT need to generate the directory to save changes you have made to it. You only need to generate your directory when you are ready to DOWNLOAD or SHARE it.

On the Step 8 - Share tab of Instant Church Directory Online there are hyperlinks available under each of your directories (Full Directory, Booklet, Sub-Directories, etc).

With each URL you can create a link on your Church website for members to view your church directory online (please note that any password protection you put on your directory also applies to this hyperlink).

Currently, the program allows you to change your font in the roster pages but not in any of the other sections.

If you do not want a group to show in the Member apps for Member Website, you edit the group and check the box next to "This group is private." You will see a lock icon next to the group in the list to know it is set to Private.

Groups do not show yet in the Online Member browser version.

Subscribers create their own passwords. Click on the Forgot Password link and a page will load that says;

Reset Password

To reset your password, simply enter the email address that is associated with your church directory.

You will receive a password reset email in your inbox.

The address information can be removed if the family does not want it published.  It can be added under the notes section, viewable only by the administrator.

 

Also, administrators can now mark individual phone numbers and emails as private.  

Members with an email set to private will still be able to login to the Apps and Member Website using that email address.

Currently the email and phone private setting is respected by the Android and iOS 2.0 apps and PDF Directory. It will not show in Member Website until we put out the next release for that application. It will also show to older Android apps.

 

Easy steps for logging into the Online Member Directory:

 

  1. Go to members.instantchurchdirectory.com

  2. Click on the link: First time signing in? Create a login now.

  3. Enter the email address as it is listed in the family portion of the directory.

  4. Create a password.  The password must be 8 characters long, and contain atleast two of the following special characters: capital letters, numbers

    or symbols.

  5. Retype the password to confirm it and click "Request Login."

  6. Check your inbox for an email from service@instantchurchdirectory.

  7. In order to complete the sign-in process, you will need to verify your email address by clicking on the link sent to you in that email.

  8. Once you confirm your email, you may sign in at members.instantchurchdirectory.com.

Add Members to Groups

You can tag either individual family members or the entire family as in a group and then the individual member or the entire family will appear in the group subdirectory PDF and in the Android and iOS Mobile apps 2.0 version or higher.  

- Go to the Edit Family Page on Instant Church Directory and add a new group. 
- Edit one or more families and set the family as belonging to this group by putting a check next to the group. 
- You can also edit an individual family member and set the person as belonging to the group in the same way.

Make a Group Private

If you do not want a group to show in the Member apps for Member Website, you edit the group and check the box next to "This group is private." You will see a lock icon next to the group in the list to know it is set to Private.

Currently the group private setting is respected in Android and iOS apps 2.0 and the PDF Directory. It will not show in the Member Website and PDF Directory until we put out the next release for each of that application.

Make a Group Sub-Directory PDF

The subdirectory PDF provides a quick reference list of the members of that group and provides their contact information without having to search through the entire directory. The subdirectory PDF contains only the Text Roster for that group.

Once you have members in a Group, generate your directory as normal and a new subdirectory PDF for each of your Groups will be created containing the families or individual family members that you have placed in those Groups.

While the administrator login is different than the member login, you can opt to use the same password, if it is within the password requirements of at least 8 characters, one number and one capital letter.

No – since their username must be their email address the only way it can be changed is if they request to change their email address altogether.

To print the directory, you will first need to make sure that all the information has been properly entered and saved. Once this has been verified, you can select which pages you would like to print by going to Step 6 – Settings and clicking on Page Selection. The pages that have been selected to print will have a check mark next to the page title. Once you have saved these options, be sure to go to Step 7 – Generate. After the directory has been generated, go to Step 8 – Share. Here you can download the directory to your computer and print.


Our program doesn’t have the capablity to directly export HTML or XML pages. However, the Instant Church Directory PDF file can be exported as HTML or XML by using Adobe Acrobat 8.0. That program can export a PDF as HTML 3.2, HTML 4.01 with CSS 1.0 or XML 1.0. 

 
Adobe Acrobat 8.0 may be a bit pricey for some churches ($159-$449). More information about Adobe Acrobat 8.0 is available at www.adobe.com/products/acrobat/.

While you cannot send mass text messages through the app to the entire congregation, you can send another member within the app a personal text message from the App.


This will act as a regular text message, so standard text plan costs will apply.


 


For iPhone:


 


Versions 8.3 or above – Simply press and hold on the phone number of the member you are wanting to text. This will allow you to either or call text that number.


 


Versions prior to 8.3 – Simply click the phone number and a new text message window will appear.


NEW MEMBERS - iOS App (Version 2.0 or newer)
The instructions below are for members who have downloaded the App and are creating a
login for the very first time. If you have previously logged into your church’s directory and
upgraded your app, please follow the ALREADY HAVE A PASSWORD instructions below.
1. Download the App from the App Store.   Search for “Instant Church Directory” and
look for this icon:
2. Open the app. Click on "Create Login".
3. Enter the email address as it is listed in the family portion of the directory.
4. Create a secure password. The password must be 8 characters long and contain at
least two of the following special characters: capital letters, numbers or symbols.
Retype your password to confirm
5. Check your inbox for an email from service@instantchurchdirectory.com

6.  To complete the login process, you will need to verify your email address by clicking
on the link sent to you in that email.
7. Once you confirm your email, close the browser window go back to the App Click
on "Sign In" to sign into your church's directory using your email and password.

UPGRADED to Version 2.0 or Newer - or - ALREADY HAVE A PASSWORD
1. Open the app and click on "Sign In".
2. Enter the email address as it is listed in the family portion of the directory.
3. Enter your password and click the sign in button.
If you do not remember your password or the password we supplied you in the past,
select “Forgot Password?” and follow the instructions to reset your password. 

iOS App (Version 1.2)
1. Open the app and enter the email address as it is listed in the family portion of the
directory.
2. Create a password.  The password must be 8 characters long, and contain at
least two of the following special characters: capital letters, numbers or symbols.
3. Retype the password to confirm it.
4. Check your inbox for an email from service@instantchurchdirectory.com

5.To complete the sign-up process, you will need to verify your email address by
clicking on the link sent to you in that email.
6. Once you confirm your email, you may open the app and sign into your church's
directory. The directory will upload to your device.
7. If you already have created a password, click on “Sign In” on the bottom of the
screen to log in.

While the administrator login is different than the member login, you can opt to use the same password, if it is within the password requirements of at least 8 characters, one number and one capital letter.

NEW MEMBER - Android & Kindle Devices (Version 2.0 or Newer)  The instructions below are for members who have downloaded the App and are creating a login for the very first time.  If you have previously logged in to your church’s directory and upgraded your app, please follow the ALREADY HAVE A PASSWORD instructions below. 

Android & Kindle Devices (Version 2.0 or Newer)
1. Download the App from the Google Play (android devices) or Amazon’s
Appstore (Kindle devices). Search for “Instant Church Directory” and look
for this icon:
2. Open the app and click on "Create Login".
3. Enter the email address as it is listed in the family portion of the directory.
4. Create a secure password. The password must be 8 characters long and
contain at least two of the following special characters: capital letters,
numbers or symbols.
5. Retype your password to confirm.
6. Check your inbox for an email from service@instantchurchdirectory.com.
7. To complete the login process, you will need to verify your email address by
clicking on the link sent to you in that email.
8. Once you confirm your email, close the browser window – do not log in on
the browser. Open the app and click on "Sign In" to sign into your church's
directory.
Already created a password online? Simply click "Sign In" and enter your
email address and password to sign into your church's directory.

 

UPGRADED to Version 2.0 or Newer - or - ALREADY HAVE A PASSWORD
1. Open the app and click on "Sign In".
2. Enter the email address as it is listed in the family portion of the directory.
3. Enter your password and click the sign in button. If you do not remember your password or the password we supplied you in the past, please select “Forgot Password” and follow the instructions to reset your password.   

Android & Kindle App (version 1.6 or Older)
1. Download the App from the Google Play (android devices) or Amazon’s
Appstore (Kindle devices). Search for “Instant Church Directory” and look
for this icon:
2. Enter the email address as it is listed in the family
portion of the directory.
3. Check your inbox for an email from service@instantchurchdirectory.com.
We will send you a password to log into the App.
4. Go back to the App. Enter the password from the email and the directory
will upload to your phone.
NOTE: This password is case sensitive and anything that looks like a 0
should be entered as a zero.

Messaging

Only those with administrator access have the ability to send group text messages.

Only the administrator over the account can start or stop text messaging plans.

1. Sign into your administrator account.

2. Click on Step 9 - 'Broadcast News'

3. Select 'Add or Change Text Message Plan'.

4. Choose your Church Size*, then pick a plan based on how many text messages you think you will send a month.

To stop your plan:

Simply follow steps 1-3 and then just 'Cancel' your plan.


Simply put, Instant Church Directory is charged a fee for each text
message sent, and we don't want to raise the membership price. So we're
offering text messaging as an "add on" feature for people who choose
to use it. We tried to keep the pricing simple so you can add or drop the
feature any time, based on your church (and budget) needs.
 
  

In order to send text messages to individuals in your directory, their number must have
the box checked to "Receive Text Messages."


  

Instant Church Directory Broadcast News Send Text Message Service Terms of Service

Part A  For Members Receiving Text Messages From Instant Church Directory Administrators 

1. When you opt-in to the service, we will send you an SMS (Short Message Service) message to confirm your signup.
 
2. You can cancel the SMS service at any time. Just text STOP to 61894. After you send the SMS message STOP to us, we will send you an SMS message to confirm that you have been unsubscribed. After this, you will no longer receive SMS messages from us.
 
If you want to join again, simply sign up as you did the first time, and we will start sending SMS messages to you again.
 
3. If at any time you forget what keywords are supported, text HELP to 61894. After you send the SMS message HELP to us, we will respond with instructions about how to use our service, as well as how to unsubscribe.

4. We can deliver messages to the following mobile-phone carriers: 
 
Major carriers: AT&T, Verizon Wireless, Sprint, T-Mobile, U.S. Cellular, Alltel, Boost Mobile, Nextel, and Virgin Mobile. 
 
Minor carriers: Alaska Communications Systems (ACS), Appalachian Wireless (EKN),
Bluegrass Cellular, Cellular One of East Central IL (ECIT), Cellular One of Northeast

By Sending Text Messages using this service:

• You agree to allow our third party text message sending provider Twilio to send and receive text messages on your behalf. Twilio will not use your members’ information for any purpose other than sending and receiving text messages. All text messages will be sent via an SMS text message short code 61894. 

• You agree to NOT send messages that include any of the following:
      - Depictions or endorsements of violence
      - Adult or other inappropriate content
      - Profanity or hate speech
      - Endorsement of illegal or illicit drugs

• You agree to abide by the sending rates of your monthly plan.

• You agree to obtain member consent to send text messages to that member before selecting the “Allow Text Messages” option on a member’s phone number. 



If you have previously received SMS Text messages and Replied STOP to end receiving text message, simply text the name of the unique organization that displayed in the begging of the text. For example, if you had received alerts from "AnyChurch Alerts" simply text AnyChurch to  61894 to begin receiving alerts again.       

  

There could be a variety of reasons a contact will not receive an email from you.

1.  Check to make sure their email address is spelled correctly.

2. The email could be landing in their spam or junk mail. Please have them check this mailbox.  They can add mail@icnsend.com to their address book to better insure receipt of the emails. 

3.  They could have "unsubscribed" from your list

4.  Their email host does not recognize the email adress you are sending it to.  Your recipient may need to add your "From" email address to their "safe list."

5. Emails such as office@, admin@ or staff@ are actually suppressed because they typically are not directed to a single person, but to a distribution of people (could be many, many people). That is not allowed by our email service provider. You can read some helpful info here: https://www.cakemail.com/knowledge-base/deliverability/what-role-account If that email is going to one person, then we would be able to put it on an exceptions list. If that email goes to multiple people, we would not be able to send emails to it. If your general email address only goes to one person or computer, then you could send thru an email to us with a message like: This email is only going to one person and you request to be added to an exceptions list.

Making an Individual's email or phone number private will allow the Admin to see the information, but it will be hidden from the Android and iOS 2.0 apps, Member Website and PDF directory.

Members with an email set to private will still be able to login to the Apps and Member Website using that email address.

Part A  For Members Receiving Text Messages From Instant Church Directory Administrators 

1. When you opt-in to the service, we will send you an SMS (Short Message Service) message to confirm your signup.
 
2. You can cancel the SMS service at any time. Just text STOP to 61894. After you send the SMS message STOP to us, we will send you an SMS message to confirm that you have been unsubscribed. After this, you will no longer receive SMS messages from us.
 
If you want to join again, simply sign up as you did the first time, and we will start sending SMS messages to you again.
 
3. If at any time you forget what keywords are supported, text HELP to 61894. After you send the SMS message HELP to us, we will respond with instructions about how to use our service, as well as how to unsubscribe.

4. We can deliver messages to the following mobile-phone carriers:

There is not a limit to the number of phone numbers that can be added to the directory.

 

At this time, font sizes are able to be changed on the roster page pages.  The options are 9 point through 18 point fonts.

There are 3 options for font styles, which apply to all pages of the directory. They are Courier, Helvetica, and Times New Roman.

Our program doesn’t have the capablity to directly export HTML or XML pages. However, the Instant Church Directory PDF file can be exported as HTML or XML by using Adobe Acrobat 8.0. That program can export a PDF as HTML 3.2, HTML 4.01 with CSS 1.0 or XML 1.0. 

 
Adobe Acrobat 8.0 may be a bit pricey for some churches ($159-$449). More information about Adobe Acrobat 8.0 is available at www.adobe.com/products/acrobat/.

1. Copy the ChurchDirectory.icdx file located at \Program Files\Communication Resources\Instant Church Directory\Directory (this is usually on the C:\ drive).
2. Paste the copy into another folder on your computer, your desktop, a CD or an external drive.
3. Make sure the original file is still in the original folder.

If a PDF of your directory is opened using Adobe Reader 8.0, the e-mail addresses are automatically hyperlinked. They don't look like links— underlined and in color — but they do work. 

 
If you hover your mouse over the e-mail address, the cursor should turn into a hand. Click the e-mail address and it should launch a blank e-mail addressed to that person.

You can access your invoice online at any time. Simply log into website and select the My Account Link. You can then pull up your invoice by selecting the Check My Account Status button and clicking on the “View Invoice” link located under your order.  From here you can view and print out your invoice at your convenience.

If you do not want a group to show in the Member apps for Member Website, you edit the group and check the box next to "This group is private." You will see a lock icon next to the group in the list to know it is set to Private.

Groups do not show yet in the Online Member browser version.

iPhone

iOS 2.1.1 App Released

The iOS App that includes Groups and Birthdays just like the Android App has been released! Members should see the update in the App Store or their devices will automatically update if that feature is turned on within the next 7 days.

As a reminder, this did require us to log all members out when they update their app to ensure they don't get into a bad state. They can log back in using their email address and the password they created.

The most common complaint we had from members for the Android App update was that they did not remember their password. Head on over to our tools page for Login instructions you can send to members having troubles logging in.
